5 Tips For Hosting Out-of-Towners

Have a lot of out-of-town guests and don’t know how to accommodate them? Hosting out-of-town guests can be stressful, but here are five tips for making your experience (and theirs!) stress-free, fun, and enjoyable.

Send early save-the-dates. Make sure your out-of-town guests have plenty of time to make arrangements for attending your wedding, whether it’s booking a flight, planning a road trip, or reserving a hotel. Creating a Facebook group for those who may want to carpool is a great way to potentially save your guests some money!

Affordable accommodations. Make a list of local hotels and vacation rental options (Airbnb or VRBO, anyone?) for groups who won’t mind bunking together. Find affordable hotels near your venue(s) and keep in mind most hotels allow you to reserve at group rates when booked as early as one year out or at least 45 days in advance. Be sure to check if they have a room minimum (typically 10 rooms) for group rates and ask about advantages for your guests like breakfast drink vouchers or complimentary happy hour. For example, for group bookings, the Drury Plaza North Stone Oak offers: free hot breakfast, Wi-Fi, parking, and an evening reception that includes three complimentary alcoholic beverages.

Transportation. According to the Senior Catering Manager at Embassy Suites Riverwalk, San Antonio’s downtown hotels are not allowed to have shuttles per city ordinance, though Go Shuttle provides transportation to and from all downtown hotels. And, of course, there’s always Uber. Many of your guests will already know how the ride-share app works, but just in case, provide step-by-step instructions along with your referral link so any newbies to Uber will have the chance to get their first ride free!

The entertainment. Entertaining out-of-town guests can be stressful, but if you plan ahead and create a list of your go-to food and drink spots, you can avoid the texts and calls that might start flowing in as soon as your loved ones land in the Alamo City. If you’re hosting guests at a downtown hotel, create a walking map of places to check out and include pit stops for coffee, lunch, happy hour, dinner, and late-night drinks.

Itinerary. Make sure to have a clear and up-to-date itinerary accessible to your guests whether through a Facebook group, email, or group text. Also include helpful phone numbers and all the addresses and times for each event. If time allows, plan a welcome party, like happy hour at a nearby bar or restaurant or something casual where guests can relax, mingle, and get to know each other before the big day. Everyone will be eager to see you and will appreciate you taking the time to see them before the wedding, plus this gives you a chance to provide welcome bags with everything they’ll need to enjoy the weekend, from directions and itineraries to snacks for their hotel room and even hangover remedies!

Your wedding will be one of the biggest (and greatest!) days of your life but it’s essential to consider your guests and their comfort. But stress not! Accommodating out-of-town guests does not need to be difficult—just remember: it’s all in the planning, starting with these five easy steps!
